Fees and Registration
 

The registration process for ICV26 has now closed. Early registration discounts ended 29 May 2015.

Registration and the addition of events or excursions closed on 17 August 2015 (at Midnight Sydney time). This was necessary to allow us to provide final number for event venues and to prepare identity lanyards. Registration and payment will not be possible at the welcome drinks nor at the door of the venue. Persons who have not registered before the closing date (and had their registration accepted) will not be permitted to attend ICV26 events, nor admitted to the Venue (including the FIAV General Assemby), other than where an invitation has been made, or consent been given by the ICV26 Executive Committee.

A downloadable registration form is available for download in two formats - A4 (download Registration Form) and US letter size (download US letter sized Registration Form). The documents are protected Word documents with areas for fillable data. The forms can be opened in Microsoft Word, filled in and saved (please add your surname to name of file) and returned by email to treasurer@flagsaustralia.com.au. The second page shows the payment options - cheque, direct credit, PayPal, Credit Card (MasterCard or VISA only), International Money Transfer and International Cheque / Bank Draft (A$ only drawn on a bank branch in Australia). Please remember to send both pages.

The organisers have sought to maintain fees to participants as low as possible (below cost for several activities) by making available some sponsorship funds and the venue is provided as sponsorship by Telstra Corporation. The current Australian dollar exchange rate (A$100 = US$ 74 at mid-rate) is about 20% favourable for American participants compared to two years ago. The Australian dollar is about 22% favourable compared to the British Pound (A$100 = £47) though only 3% favourable compared to the Euro (A$100 = €68). The Yen exchange rate is currently A$100 = ¥91, which is unchanged from two years ago.

 
  Expressions of Interest in Attending .    
 

Early advice of an intention to attend ICV26 was very helpful to the Congress organisers in planning for the event and excursions. We thank those who completed our Expression of Interest in Attending Form and confirm that full registrants received an aditional $50 discount from their registration fees, providing they lodged the form by 1 January 2015 and paid for registration in full (including companion and optional registrations) prior to 1 May 2015 (revised to 29 May).

    Includes: Attendance at all lectures and workshops; Congress welcome packet; informal welcome drinks; Harbour cruise; group photo; coffee and tea at breaks; and CD of proceedings. Does not include excursion to Canberra, Closing Dinner and lunches on lecture days.

    Regular registration From 29 May 2015 - now closed A$250  
    Late registration: There was no penalty for late registration, though inclusion in the companion excursions would not be guaranteed for registrations later than 31 July 2015.    
    Registration Closing Registration is closed on 17 August 2015 (Midnight Sydney time). Changes to existing registrations to add a companion or additional events of excursions will not be possible after this date. Registration and payment will not be possible at the welcome drinks nor at the door of the venue.    
  Companion Registration .      
    Includes: Congress welcome packet; informal welcome drinks; Harbour cruise; group photo; coffee and tea at breaks. Companions are welcome to attend any lectures, though if they intend to attend the majority of lectures, then full registration is requested. Does not include optional Companion tours, excursion to Canberra, Closing Dinner, proceedings and lunches on lecture days.    
    Companion registration: Any time until 17 August 2015 A$60  
    Companion Tours: Opera House Guided Tour - includes tasting plate lunch at Opera Kitchen A$75  
      Sydney and Environs Tour - half-day coach tour of Sydney's northern beaches. Will include light lunch with delegates at Observatory Park. A$50  
      Australian Wildlife Visit - a guided tour of Taronga Zoo, focused on Australian Wildlifes, including personal encounters with a koala. Includes à la carte lunch at The View restaurant A$85  
  Optional Registrations .      
    Canberra Excursion (Wednesday): Includes return travel to Canberra by bus, admission charges, breakfast pack, a light lunch and full dinner. Note this involves an early pick-up of 7:00 am. A$145

  Refund Policy .      
    Cancellations for all registrations received prior to 30 June 2015 will be refunded in full, except for a $50 retention. Any cancellations received after 30 June 2015 will have fees refunded at the discretion of the ICV 26 executive committee and this may include a higher retention amount if notification occurs after the organisers have paid for events. Refunds will be made as soon as possible, but may be delayed until after the completion of the Congress.    
           
  Code of Conduct.
   

All registrants agree to abide by a Code of Conduct. Many flags are regarded as important and they can evoke strong emotional responses. All delegates must exercise respect and restraint in the expression of any views or opinions. This includes agreeing not to interupt lecturers, to phrase any comments at the venue or at an ICV event in a polite manner and to show respect, acknowledging the fact that different delegates may have different personal opinions on various subjects, particularly regarding politics, culture, religion and the merits of flag designs. Registrants agree to comply with the relevant core beliefs of Flags Australia, i.e. to conduct their activities in an unbiased manner and to respect the current Australian National Flag and the right of individual registrants to personally advocate alternate new flag designs. If any registrant acts in a manner contrary to this Code of Conduct or is disruptive to the ICV's activities, then the Congress Executive Committee may cancel the registrant's further participation in the ICV, including exclusion from the venue and any excursion or function. Flags Australia will refund fees for the excluded activities at its discretion, having regard to the circumstances of the breach.

Flags Australia reserves the right, at its sole discretion, to request that a person who seeks to register to attend ICV26 sign a written undertaking to abide by the Code of Conduct. Registration will be declined if such a requested undertaking is not provided within 7 days of being requested.

Persons who have not registered before the closing date (and had their registration accepted) will not be permitted to attend ICV26 events, nor admitted to the Venue (including the FIAV General Assemby), unless prior consent has been given by the ICV26 Executive Committee. Such prior consent must be requested before 18 August and will be subject to Flags Australia receiving a signed written undertaking to abide by the Code of Conduct by 24 August. Admission to the Venue or FIAV General Assembly will be declined if such a requested undertaking is not provided.

       
  Limits on Numbers.
    Flags Australia reserves the right to decline registration or to decline participation in any excursion or function on the basis of limits to the capacity of the excursion or function.
           
  Disclaimer .      
    In the event of force majeure or for reasons beyond its control, Flags Australia has the right to alter, postpone or cancel the 26th ICV in Sydney or any of the arrangements, timetables, programmes or other items relating directly or indirectly to the 26th ICV in Sydney. In the event of such cancellation or curtailment, Flags Australia's liability shall be limited to registration fees already paid. Furthermore, with the exception of any wilful damage or gross negligence committed by Flags Australia, it shall at no time be liable for any direct or indirect damage suffered by the participants including consequential and immaterial damage caused by failure to comply with any provision of the Congress documents, the registration form or related informational materials.
